Scope of Business Operations Manager

The ideal candidate should be able to perform the following:

  • Managing the day-to-day business and administrative operations.
  • Developing, reviewing, and improving administrative systems, policies, and procedures.
  • Work with the GM and Treasurer to set budgets, monitor spending, and process payroll and other expenses.
  • Assist the GM to identify and resolve issues, complaints, and inquiries from members of the team.
  • Look into hiring, training, and evaluating employees and taking corrective action when necessary.
  • Ensure that the company has adequate and suitable resources to complete its activities (e.g. manpower, material, equipment etc.)
  • To ensure that the organization adheres to the constitution and by-laws as well as the laws and regulations of the country.
  • Ensure that organisational legal matters are managed properly, efficiently and that the relevant and respective stakeholders are shared and given proper advise and guidance.
  • Assist the organisation’s Secretary to vet through legal documents and agreements, and working closely with external lawyers for such purposes.
  • Prepare and update SOPs in line with best practices.
  • Plan and coordinate administrative procedures and systems and devise ways to streamline processes.
  • Ensuring the office is stocked with necessary supplies and that all equipment is working and properly maintained.
  • Work with volunteer IT team to ensure proper maintenance of essential IT operations, including website, security tools, applications, servers, email systems, and other software and hardware requirements.
  • Monitor the implementation of the CRM System and oversee data administrative duties of the data administrator.
  • Collecting, organising, and storing information using online filing systems.
  • Oversee volunteer manpower planning with the Volunteer Management team.
  • Manage schedules and deadlines.
  • Keep abreast with all organisational changes and business developments.
