Scope of the Procurement & Beneficiaries Manager

The ideal candidate should be able to perform the following: 

  • Nurture and develop existing food partner relationships to ensure the maximum amount of surplus food is donated, paying particular attention to fluctuations in donations and ensuring continuity of engagement with every food partner. 
  • Develop an engagement strategy (with the support of the Corporate Engagement Manager) to bring in donations from new food partners across the food supply chain (producers, manufacturers, markets, retailers and other distributors).
  • Grow a well trained team of volunteers to become TLFP ‘procurement experts’ – able to engage potential food donors and develop partnerships whilst acting as ambassadors for TLFP.
  • Over time develop a strategy to create more nutritional diversity across food donations, specifically trying to meet the needs of the beneficiaries. 
  • Plan the equitable distribution of food across all beneficiaries with the TLFP Management team. 
  • Work with the MarComms team to develop campaigns to recruit new food donors and ensure sustained publicity for all existing food partners.
  • Use the CRM system to track and analyse food donation data in order to provide meaningful CSR reports to food partners of #meals and #C02 metrics; contribute wherever possible to the improvement of data collection. 
  • Work with the Charities Team, monitor and supervise charities liaison volunteers, develop relationship and continuous engagements with beneficiary stakeholders – particularly NGO or B40 representatives – get to know their needs and assign food/non-food essentials to them accordingly. 
  • Ensure beneficiaries’ compliance with SOPs and auditing, as well as recruiting potential new beneficiaries in line with growth of donations to ensure that all beneficiaries have optimal food deliveries and that all surplus is allocated. 
  • Ensure that all procurement and beneficiary interactions promote TLFP’s aspirational standards. 
  • Work in tandem with the warehouse and logistics teams to ensure that there is seamless collection and distribution of surplus to minimise wastage of donations.  
  • Represent the organisation in events, programme, corporate presentations, as and when necessary.
  • Attend management meetings to ensure excellent communication between departments, promote teamwork and aspirational ways of working in TLFP.
